Privacy Policy

Court RP ("we", "our", or "us") is committed to protecting your personal information. This policy explains what we collect, why we collect it, and how we keep it safe, in plain language and in compliance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

1. Who we are

Court RP is a Canadian web application that helps self-representing individuals and legal professionals prepare for court. We operate at courtroompilot.com.

2. What we collect

We only collect what is necessary to provide the service:

  • Account information:An email address and a display name when you sign up. You are not required to use your legal name. Court RP does not need your legal name to help you prepare a case.
  • Case information:Details you enter about your case, court, and jurisdiction.
  • Evidence files:Documents, photos, and videos you upload for analysis.
  • Practice session transcripts:Text from your courtroom simulation sessions, stored so you can resume them.
  • Billing information:If you subscribe, Stripe processes your payment details directly. We never see or store your card number.
  • Usage data:Pages visited and features used, collected anonymously via Clerk Analytics to improve the app.

3. Why we collect it

We use your information solely to:

  • Provide and personalise the Court RP service to your case
  • Process your subscription or one-time payment
  • Send you important account and service emails
  • Improve the app based on anonymised usage patterns
  • Comply with legal obligations

We do not sell your data, share it with advertisers, or use it to train AI models.

4. AI processing and data sources

When you use AI features (case analysis, evidence analysis, courtroom practice, etc.), your case content is sent to third-party AI providers (OpenAI, Anthropic, Google) to generate responses. This processing is covered by their respective data processing agreements. We instruct these providers not to use your data to train their models.

Court RP displays legal information drawn from official public sources, including the public courts of each province, official provincial government websites, court service directories, and the National Law Database. We use large language model (LLM) technology to organise and surface the laws and court procedures that are relevant to your specific case, presented as information you can use to prepare.

Court RP does not fabricate laws, case citations, or court procedures. All legal information and citations surfaced in the app are pulled and verified against live official government data sources. If a source cannot be verified, it is not shown.

5. How we store and protect your data

Your data is stored in databases on servers located in Canada and the United States. We apply the following protections:

  • Encryption in transit (TLS) and at rest
  • Row-level security so each user can only access their own data
  • Authentication via Clerk with secure session management
  • Access to production data is restricted to authorised personnel only

6. How long we keep your data

We keep your account and case data for as long as your account is active. If you delete your account, we delete your personal data within 30 days, except where we are required to retain it by law (for example, billing records for tax purposes, which we keep for 7 years. This data is not stored in Court RP, but instead in Stripe).

7. Your rights (PIPEDA)

You are the master of your own data. Under Canadian privacy law and our own commitment to you, you have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Delete any or all of your saved case data at any time, directly from within the app
  • Delete your account entirely at any time. All personal data associated with your account is permanently removed within 30 days
  • Know how your information is being used
  • File a complaint with the Office of the Privacy Commissioner of Canada

Deletion and account closure can be done directly in the app at any time, no email needed. For access requests, corrections, or complaints, contact us at contact@courtroompilot.com. We will respond within 30 days.

8. Cookies

We use only essential cookies required for authentication and session management (via Clerk). We do not use advertising or tracking cookies.

9. Legal professionals and payment identity

Legal professionals who choose to accept client payments through Court RP are required to complete identity verification as part of payment onboarding. This is handled entirely by Stripe, our payment processor, on their own hosted and secured platform.

Court RP does not collect, see, or store any of the legal or financial identity details submitted during that process. Those details go directly to Stripe and are governed by Stripe's Privacy Policy. Court RP only receives a confirmation that onboarding is complete.

This section applies only to legal professionals who activate client payment features. Self-representing users are not subject to any identity verification requirement.

10. Changes to this policy

If we make material changes to this policy, we will notify you by email and update the "Last updated" date at the top. Continued use of Court RP after changes constitutes acceptance of the updated policy.
